Guide 4 of 8Bomi is an insurance concierge for therapy practices.

One session, start to finish.

We check benefits before the session, send the claim and charge the copay the next morning, and chase anything that doesn’t pay. Insurers pay your practice directly; Bomi invoices its fee separately.

    Two weeks out

    Benefits checked

We verify every new client on your schedule: copay, deductible, network status. Automated check first, then a call when it is unclear.

You hold the session, keep the appointment status right, and sign your note.

    Next morning

    Claim sent, copay charged

We send the claim and charge the copay to the card on file. Not the same day, so you have time to fix a code.

    If stuck

    We chase it

Denials and rejections worked in 1-2 days. Stale claims chased at 14-30 days depending on the payer.

Who collects from clients

We charge the copay to the card on file the morning after the session. Declined cards come back to you. We never contact your clients and we don’t do collections.

What stays yours

  • Keep appointment status right: completed, no-show, late cancel.
  • Sign your notes.
  • Answer what we flag in the Monday email or under "Needs your input".
  • Upload a new insurance card when a client hands you one.
  • Tell us when you add a clinician, a location, or a payer.

What we don’t hand back to you

  • Calling a payer or sitting on hold
  • Reading an EOB or resubmitting a claim
  • Updating CAQH or re-attesting
  • Running cards or posting payments

One email, every Monday

Where credentialing stands, what we’re chasing, balances and credits, and what needs you. Reply to it and the right person picks it up. In a group, each clinician gets their own; the owner is copied.

Subject Weekly billing + credentialing update

Hi there,

Here are this week’s updates and what is top of mind:

Credentialing updates

  • Your Aetna contract is signed and waiting for Aetna’s signature.
  • BCBS direct deposit requested, and we opted you out of their virtual cards.

On our radar

  • The second insurer is reviewing two claims again now that we sent the first insurer’s payment details.
  • One claim has sat 30 days with UHC; we escalated it and call again Monday.

Balances + credits

  • Client A: $48 new balance. Client B: $34.12 balance.
  • Client C: $562.40 temporary credit. Client D: $78.20 credit.

Needs you

  • Sign the Cigna W-9 we emailed Thursday so the application can move.

Cheers, Bomi

Sanitized example. Client names are never in the email; we use code names.

The first client

Add the client and click Invite to Client Portal. You pick what they see first: intake, consents, PHQ-9 or GAD-7, your own forms. They sign in with an email link, e-sign on any device, and upload their insurance card. We verify benefits before the first session.

2 of 4

The first session and note

Book from the calendar, office or telehealth. The appointment warns you if insurance or intake is not done yet. Afterwards, add the note from the appointment (SOAP, DAP, BIRP, EMDR, or free text) and sign it. The next morning we send the claim and charge the copay.

3 of 4

The first payment

Insurance pays by direct deposit straight to your account; timing depends on the payer. Early next month you get one invoice from us for 4% of what actually landed. Pending claims are not counted. On the Billing page, "Needs your input" is the only number you have to watch.

Where credentialing stands

Every clinician and payer as credentialed, in progress, or blocked. A blocked row says plainly what is missing and who acts next. Owners add new payer applications from the same page.
