Why did my practice receive a VPay virtual card?
Payers choose the delivery route. Florida Health Care Plans describes VPay card payments without advance card enrollment. McLaren’s published notice says providers already on ACH keep that method, while providers without ACH receive cards. A therapist receiving a card should therefore start with the actual payer instructions, rather than assume all Optum-branded payments use one enrollment. Florida Health Care Plans claims McLaren Optum VPay update, November 2022.
VPay card fees versus ACH fees
A card payment runs through your merchant processing arrangement. West Virginia Senior Advantage says that the merchant agreement sets the card-processing rate and that its VPay EFT option may also carry transaction fees. No single VPay percentage applies to every practice or payer. Check both the merchant fee and the written ACH terms before comparing methods. West Virginia Senior Advantage providers.
Optum’s current payment-delivery page lists ACH, virtual cards and checks. That choice of methods is not a promise that every payer offers each one on identical terms. A free enrollment application, if offered, also would not establish free transactions. Optum Financial payment delivery.
These published payment choices are payer-specific. McLaren’s payment notice FHCP’s ACH/835 instructions WV Senior Advantage’s payment options.
How to opt out of VPay cards
Find the payer-specific contact. Keep the notice and remittance available. Use the payer companion guides below or the support contact printed on the notice. The consent page’s 800-385-3793 is published for questions about that acknowledgment; do not assume it is your payer’s opt-out line. Optum Financial VPay virtual-card consent.
Ask for the available ACH/EFT or check choice. McLaren documents ACH or check through 888-477-0067 after the first card. Florida Health Care Plans documents ACH/835 through 855-893-0007. West Virginia Senior Advantage connects you through 866-225-8501 for EFT or paper-check opt-out. These contacts are payer-specific. Review costs before authorizing bank enrollment. Ask which ACH option is offered, whether transactions carry a fee, which payers and billing locations the election covers, and when it becomes effective. Have the practice’s authorized signer review the written terms. These are recommended verification questions, not a universal vendor form checklist.
Resolve the outstanding card separately. Ask support whether the existing card will be canceled or reissued and how its remittance will be delivered. Save the confirmation and compare the next payment with the chosen method. Do not process a card and a replacement as two separate reimbursements.
Keep VPay separate from Optum Pay
Optum’s documentation names both VPay and Optum Pay as solutions. Shared ownership does not establish shared portal pricing, payer enrollment or biller permissions. If your notice actually identifies Optum Pay, use our separate Basic/Premium and access guides below. Optum Financial virtual-card user guide, June 2022.
If card fees were already taken
As an operational check, compare the payer remittance with your merchant settlement. Ask the merchant processor about the charge and its refund policy, and ask payer payment support about future delivery. A payment preference change does not itself prove that an earlier fee will be refunded. Do not rebill the patient for a payment-processing difference without reviewing the remittance and patient responsibility.
