What to expect, 7 of 7Read this the week you make an offer, not the week they start.

Adding a clinician to your practice.

What we need, what they get emailed, how long it takes, what it costs, and how supervisees and pre-licensed clinicians work.

For each of your payers, a new clinician needs either a roster link to your existing contract, their own credentialing, or both. Roster links often take a few weeks; individual credentialing takes the same 60 to 90 days yours did. We tell you which applies per payer, so the earlier you tell us, the closer their start date lands to their first insurance client.

How it goes

  1. 1

Tell us who, and which payers

Name, email, license type, NPI if they have one, and whether they are independently licensed or supervised. In Bomi EHR, invite them from the Team page and pick their payers on the Credentials page. Otherwise reply to your Monday email.

  2. 2

They get their own secure email

We email the clinician directly for their CAQH login, license, and malpractice, and copy you. If they do not have a CAQH profile, we help them create one first. You do not have to collect any of it.

  3. 3

    We file roster additions

For payers where your practice already holds the contract, the clinician is linked to your roster; some payers do this in about a week, others still credential the clinician individually and take the full 60 to 90 days. For a payer you are not contracted with, it is a new application.

  4. 4

They appear in the Monday email

Each clinician gets their own Monday email; you are copied. The Credentials page shows every clinician by payer.

  5. 5

    Effective date, then first client

Same rule as yours: no insurance sessions for a payer before that payer’s effective date for that clinician.

Questions owners ask

What does it cost?
One $50 per payer per clinician, whether it is a roster link, a full application, or both, unless some of your practice’s first four are still unused (the Monday email says how many are left). Billing stays at 4% of what the practice collects; nothing per clinician.
Can they see clients while applications are pending?
Self-pay clients, yes, once their license or registration and supervision allow them to practice in your state. Insurance clients only for payers where they are effective, or under supervised billing where the payer allows it.
How do pre-licensed clinicians and supervisees work?
Before billing anything for a supervisee we check their license status and which of your payers allow supervised billing (many commercial plans do with an independently licensed supervisor on your roster; Medicare and Medicaid have their own rules, and Medicare does not let therapists bill another clinician’s sessions as their own), plus your state’s rules. Supervised clinicians who are not on a payer roster are not charged an application fee. We do not bill a session under a clinician who did not provide it where the payer does not allow it; payers can require that money back.
A clinician is becoming fully licensed.
Tell us the date. Their roster entries need to move from supervised to independent with each payer, and some payers treat it as a new application.
A clinician is leaving.
Tell us their last date. We end their link to your practice with each payer from that date and finish any earlier claims. Their license, NPI, and CAQH profile are theirs; your practice’s contracts and rates stay with the practice.
