Check Your PA PROMISe Application Status With an ATN

Go to the PROMISe portal and choose Application Status for a submitted enrollment application, or Resume Application for one you have not submitted yet. Both ask for the same three things: the Application Tracking Number (ATN), the SSN or FEIN on the application, and the password chosen when the application was started.
This is for Pennsylvania Medical Assistance provider enrollment. It is not the tracker for a household’s Medicaid benefits application.

Which Email Did You Get?
The fastest way to tell where an application stands is the automated email from the enrollment system. It goes to the contact email entered on the application.
“Electronic Enrollment Application Initiated not Completed 30 Day Notice”: the application was saved but not submitted. The notice says saved applications are available for 30 calendar days from the start date and are deleted if not submitted by then. Use Resume Application.
“Electronic Enrollment Application Confirmation of Submission”: the application was submitted. Use Application Status to follow it.
An ATN exists from the first save, so having one does not mean the application was submitted. Look for the submission confirmation, or the Application Submitted page and its downloadable PDF, before telling anyone it is filed.
What the Status Tells You and What It Doesn’t
The Application Status page shows where a submitted application sits, such as Application Under Review, and the date of that status. In our experience, the submission page only says the application “will be reviewed shortly” and gives no target date. Write down the status and the date you checked each time, so you can tell whether anything has moved.
Application Status only works for an application you already have credentials for. It cannot tell you whether a clinician was ever enrolled before, or find an application someone else started.
When You Can’t Get a Status Online
Here is what we have run into when following up on Pennsylvania applications, and what DHS actually told us to do.
A CAPTCHA blocks the lookup. The status and resume forms use a CAPTCHA that has to be solved by a person, which can stall a quick check.
Emailing the enrollment mailbox doesn’t get a status. When we emailed the address DHS lists for enrollment inquiries, Provider Enrollment replied that it is for submitting enrollment forms only. They said they can’t look up an account by NPI and don’t give enrollment information by email.
Call the Provider Enrollment Inquiry line instead. DHS pointed us to 1-800-537-8862. DHS Provider Quick Tip #41 gives the menu path for application status as option 2, then 4, then 1. Have the ATN and the provider’s identifying details ready.
Portal errors are a different team. For technical problems with the PROMISe portal itself, DHS directs providers to the Gainwell Provider Service Center at 1-800-248-2152.
Don’t start a second application to “check.” The first save on a new application creates a new ATN. The PROMISe manual adds that program type and provider type cannot be changed once saved. If you lost the ATN or password, call the inquiry line about the existing application before creating another one.
Submitted Still Isn’t Enrolled
Even an approved application leaves things to check. Confirm the provider’s service locations, the effective date, and any separate managed-care credentialing the practice needs. The public Provider Directory states that being listed or missing does not guarantee enrollment status, so don’t rely on it either way.

Frequently Asked Questions
I have an ATN. Does that mean my application was submitted?
No. The ATN is issued when the application is first saved. Only the Confirmation of Submission email or the Application Submitted page shows it was filed.
Can I email Pennsylvania DHS for an application status?
In our experience, no. The enrollment mailbox is only for submitting forms. Use Application Status in the portal, or call the Provider Enrollment Inquiry line if the portal won’t show you.
What happens if we don’t finish the application in 30 days?
The enrollment system deletes saved applications that are not submitted within 30 calendar days of the start date. You would have to start a new application with a new ATN.
