TL;DR: use your own login, and give your biller their own

Use your own IAMOnline login and MFA. Your biller gets their own General User account, which the practice administrator links to the provider records and permissions they need. PEMS enrollment, TexMedConnect eligibility and claims, and managed care plan access are separate tasks. TMHP user types and permissions.

Who needs their own IAMOnline login

Each staff member and outside biller who needs access should use a separate named user and unique email. Complete activation and security setup as that user; keep passwords and MFA codes with their owner. My Account User Guide.

One person owns each login: use your own name, email and MFA. My Account can link that user to multiple authorized NPI/API records; the administrator repeats the provider-linking process for each record. Never share your password — give your biller access to their own login instead. User types and provider linking in the My Account guide.

Each person owns their IAMOnline login and MFA. The practice administrator links the biller’s separate General User account to authorized NPI/API records and permissions. One user can be linked to more than one provider record. Never share passwords.

What your IAMOnline login opens

IAMOnline signs you in with your own account and MFA. My Account permissions control PEMS enrollment and TexMedConnect eligibility or fee-for-service claims. Managed care work uses the plan’s separate provider portal. Ask the practice administrator about missing permissions.

PEMS is for enrollment and revalidation; TexMedConnect supports eligibility and fee-for-service claims. Managed care plans use separate portals for plan work. Enrollment resources; TexMedConnect; Managed care handbook.

Before you create access

Check whether the practice already has a My Account administrator and whether you have an existing user. Have the correct NPI/API and an email you can open. Ask the administrator to link an existing account rather than creating an unnecessary second account. Provider and user linking instructions.

Account setup steps

New applicant: use official Account Activation and select the appropriate enrollment-account option. Existing providers should use the provider-linking route or their administrator. Account Activation.

Complete the IAMOnline activation message and security setup using the current guide. Email is the default security method; Google Authenticator and Okta Verify setup is optional on this screen. Expired activation links can be replaced through the published recovery route. IAMOnline access guide.

After authentication, confirm that My Account shows the authorized provider and application. Application permissions remain a separate administrator task. Account-management guidance.

Add your biller/delegate

Use the guide’s General User account type for a biller, with the permissions needed for the agreed work. Billing services, vendors and clearinghouses cannot register as account administrators. Your practice administrator creates or links the biller’s own user and assigns access for each authorized provider identifier. My Account user types, pages 9–11.

The acute-care administrator creates a new user or links an existing username, selects the authorized NPI/API and assigns needed permissions. The biller then completes their own activation and MFA. My Account User Guide.

Login errors & lockouts

For activation or password problems, follow the IAMOnline access guide. If sign-in works but the provider or application is missing, ask the administrator to review the link and permissions. Creating another enrollment application will not repair a missing permission. IAMOnline recovery guidance; My Account permission guidance.

The current guide describes separate 90-day inactivity rules for the IAMOnline account and each application. Opening one application does not keep the others active. For deactivated access, call the EDI Help Desk at 888-863-3638. Inactivity and restoration instructions.
