Start with license readiness

Your license type determines whether you can practice independently, need supervision, or should set up inside a group practice first. Confirm the current rules with the state board before accepting clients.

This table is a setup readiness starting point, not a substitute for current board review.

Kansas titles determine clinical independence

Kansas LPC and LMFT licenses require clinical direction; LCPC and LCMFT are the independent clinical levels. LSCSW is Kansas’s independent clinical social-work title. LCP means Licensed Clinical Psychotherapist and is distinct from both LP and LMLP. The table describes clinical practice authority, not business ownership, nonclinical self-employment or automatic insurance eligibility.

Clinical direction and qualifying supervision are separate checks

An LMSW’s statutory clinical direction does not replace the LSCSW-supervision requirement for private clinical social work in K.A.R. 102-2-8. For clinical-license advancement, use the profession’s current training-plan rules, qualified supervisor and required Board approval before counting hours. Define responsibility for clients, records, confidentiality, emergencies and changes in supervision. A payer’s willingness to credential a supervised clinician does not expand that clinician’s legal scope.

Check the issued credential, including temporary or limited status

A degree, pending application or trainee title does not itself authorize independent practice. Temporary, provisional, candidacy and community-based licenses have different conditions; review the issued level, supervision, setting limits, expiration and required title disclosure. Community-based credentials are tied to qualifying employment and supervision even when ordinary license abbreviations may be used. Kansas’s LASW is a legacy social-work associate category: existing licenses may be renewed, but no new ones are issued.

Build medical consultation into intake

Kansas’s counselor, MFT, clinical social-work and master’s-level psychology statutes contain physician-or-psychiatrist consultation requirements when clients have mental-disorder symptoms. They permit a client-requested written waiver retained in the record and allow continued evaluation and treatment while consultation is obtained or waived. The LP provision has a different trigger when the psychologist cannot make an independent diagnosis. Follow the rule for the actual credential; the telemedicine physician-report exemption does not erase these duties.

Next step: confirm your state board rulesUse the official Kansas licensing source before you decide whether to setup independently, stay supervised, or join a group first.

National steps

These steps are not unique to Kansas, but they still need to match the state, address, entity, tax, payer, and EHR details you use for setup.

  • Decide Type 1 NPI versus Type 2 NPI and whether the practice will bill under an individual or organization.
  • Create or update CAQH and keep attestations current.
  • Align EIN, W-9, business bank account, and payer-facing business identity.
  • Confirm HIPAA privacy/security, Notice of Privacy Practices, consent forms, Good Faith Estimate workflows, and documentation setup.
  • Select EHR, clearinghouse, billing workflow, payment processor, ERA/EFT workflow, and denial-management process.
  • Build a credentialing packet with license, malpractice, NPI, CAQH, W-9, bank documentation, taxonomy, service address, telehealth policies, and supervisor information if applicable.
  • Track payer applications, effective dates, portals, claim test dates, ERA/EFT status, and recredentialing deadlines.
Next step: clean up NPI and CAQHMake sure your individual NPI, organizational NPI decision, taxonomy, CAQH profile, W-9, and practice address are consistent before payer applications start.

State-specific steps

Business entity options

Choose the structure with Kansas counsel based on the actual owners, credentials and services. Kansas permits several entity routes; it does not impose one universal professional-LLC model for every therapist. Check the professional categories in K.S.A. 17-2707 before assuming an owner qualifies. Corporations and LLCs register with the Secretary of State; sole proprietors do not. Kansas does not register DBA, assumed, fictitious or trade names with that office. For a professional LLC, the current PDL instructions require an original regulatory-board certificate for each professional service and a name matching Board approval; a license copy is insufficient. The instructions allow LLC or LC but expressly prohibit PLLC as the formation suffix. Maintain the required resident agent, Kansas registered office and biennial information reports. Check local zoning, home-office, occupancy and business requirements and any program-specific authorization. Keep the legal name, public name, W-9, banking, NPI, addresses and payer records consistent.

Next step: align entity details with billing recordsBefore payer setup, make sure your entity name, EIN, W-9, NPI, CAQH, EHR, and bank details will all tell the same story.

State and tax registration

Obtain a federal EIN when required and choose tax treatment with an accountant. Entity formation and tax elections are separate decisions. Kansas Department of Revenue registration depends on the activities and employer obligations of the practice; use KS-1216 and the withholding guide to identify applicable accounts. Plan income taxes, estimated payments and payroll obligations, and check unemployment and other employer requirements before hiring. Do not assume every therapy practice needs a sales-tax permit or that all products, workshops and other revenue share the same tax treatment. Review taxable sales and purchases separately from clinical fees. Maintain business information reports separately from tax filings.

Next step: prepare EIN, banking, and payer paperworkUse the setup checklist to track financial setup before credentialing asks for tax and payment details.

Telehealth notes

Confirm the client’s physical location and the clinician’s location for each encounter, and establish legal authority in the relevant jurisdictions before providing care. A Kansas mailing address or license does not settle an out-of-state session. Kansas applies the same professional standards and applicable privacy protections to telemedicine and permits a provider–patient relationship to begin remotely. BSRB professionals are exempt from the Telemedicine Act’s routine three-business-day physician report, but profession-specific consultation duties still apply. Document consent as required by the profession and payer; plan callback, emergency and connection-failure procedures. Verify audio-only coverage, codes, modifiers and place of service with the actual plan. Coverage protections do not guarantee every service, modality or reimbursement rate. As of October 17, 2026, Kansas is not listed among operational Counseling Compact states. Check issued permits, privileges and current compact rules rather than treating membership or an application as authority to practice.

Next step: configure EHR and telehealth workflowsSet the client-facing workflow for scheduling, consent, documentation, payments, and billing before the first appointment.

Mandated reporting notes

Covered mental-health professionals must promptly report suspected child abuse or neglect under K.S.A. 38-2223. The July 1, 2026 amendment in HB 2601, chapter 125, adds known custody-dispute information to report contents; it does not excuse reporting during a custody dispute. Another reporter’s action does not discharge an individual duty. Use DCF’s Kansas Protection Report Center at 1-800-922-5330 or its mandated-reporter portal, and follow statutory law-enforcement and special institutional routes. For qualifying vulnerable adults in covered community settings, K.S.A. 39-1431 requires prompt reporting of suspected abuse, neglect, financial exploitation or need for protective services; age 65 is not the threshold. Facility residents fall under separate definitions and K.S.A. 39-1402’s immediate-reporting duty: adult-care-home reports go to KDADS, medical-facility reports to KDHE, and other covered residents to DCF and appropriate law enforcement. KDADS/KDHE use 1-800-842-0078 for facility complaint intake, Monday–Friday, 8 a.m.–5 p.m. Follow the statutes’ law-enforcement routing when the relevant department is not open; do not delay an immediate report until the hotline reopens. DCF’s child/community-adult line is staffed 24 hours. Call 911 for an emergency. Document the concern, recipient, timing and confirmation; do not treat an agency’s six-hour forwarding rule as a clinician’s reporting grace period.

Next step: build forms and policy review into setupKeep clinical policies, privacy workflows, intake forms, and billing policies on the same setup checklist.

Insurance credentialing notes

For Kansas Medicaid, start with the KMAP Provider Enrollment Wizard and select the intended KanCare plans. Current plans are Healthy Blue Kansas, Sunflower Health Plan and UnitedHealthcare Community Plan. KMAP enrollment is required for MCO participation; approved information is forwarded to selected plans for their credentialing and contracting processes. Confirm individual, organization and location records, affiliations, rendering-provider eligibility and each plan’s effective date. Sunflower’s July 2026 manual expressly distinguishes a credentialing approval letter from its later notice of active participation. For commercial insurance, keep CAQH and supporting records current and verify the exact product, network, clinician roster, location and billing rules. BCBSKS’s April 2026 criteria include several supervised master’s-level credentials and a limited temporary-license exception; this is neither independent-practice authority nor guaranteed admission. Its January 2026 behavioral-health manual prohibits incident-to billing and does not make an unlicensed clinician’s psychotherapy payable merely because a supervisor is involved. BCBSKS serves Kansas except Johnson and Wyandotte counties; confirm the correct Blue organization and member product. Before billing any payer, verify benefits, authorizations, telehealth requirements, allowed patient responsibility, ERA/EFT and claim submission details. Do not infer service-level payment eligibility from a license, NPI or group contract alone.

Next step: Map your payer listChoose target payers, gather packet details, and track every application through effective date and claim readiness.
